Good day. I am not getting solution any where so finally i decided to post here.
I am using share point 365 . I created 1 list . once list data updated Email needs to trigger.
I created work flow in share point designer 2013.
In my List i have only 1 Filed.
Field : Manager email id ( Text Box )
in work flow i trigger email for me and manager email id.
But email trigger only for me not my manager.
So check the permission and given contribution permission to "everyone except external users"
Again i tried email not triggered.
Again i given permission for Particular manager .
Then i tried , Email trigger happen.
I have more than 5000 People i cant able to add individual for all 5000 so i used "everyone except external users" but this is not working.
Is this Bug ? or we have work around for that.
Waiting for your response.
Regards,
You have to create workflow in SharePoint designer.
Follow these steps
Create a list
Click on edit . Add a field Email having type string.
save it.
Open this list in SharePoint designer. Create a workflow.
Click on action.
Under core action, click on send a email option.
Click on these users.
Then a define email message window will be displayed.
Click on a icon of To section.
Choose Workflow Lookup for a user from the list. Click on Add.
Select Current Item in Date source section and the Email field of our list in field section. Press OK.
Draft a email that you want to send. Press OK.
Follow same steps for you as user also.
In transition to stage section, select go to end of workflow.
Click on workflow setting.
In Start option, tick all the options.
Publish it.

Working with the 'Track & Plan' feature of the IBM Bluemix DevOps Services generates a lot of email notifications to my co-workers and me. For example, notifications are sent out for each work item creation, modification or assignment. As the number of such mails is overwhelming, I would like to deactivate them.
If I had full access to the underlying RTC instance I would go about this as outlined in the RTC Knowledge Center - Configuring notifications in the web client.
So far I haven't been able to find a comparable configuration page in the version hosted on DevOps Services. Also, the Bluemix DevOps Services Documentation (e.g. Track and plan) didn't yield any hints in that direction.
Is there a way to disable these notifications either completely or at least partly? If so, how?
You can disable email notifications by following the instructions here:
https://developer.ibm.com/answers/questions/185255/configuring-track-plan-email-notifications.html
Find your name on a full page workitem and click on it (could be in created by, subscribed, mentioned in a comment, ...)
You'll land in a page that has your profile and some license information...ignore that. Take the URL from the browser window and paste it into a text editor or some text buffer somewhere. e.g. https://hub.jazz.net/jts08/admin#action=com.ibm.team.repository.viewUserProfileemId=_yyeAwKGKEeSa6LqyswPPCA
Go back to the Track&Plan view click on "Track & Plan" drop down and select the "Project Dashboard". You should now have a URL that looks like: https://hub.jazz.net/ccm08/web/projects/dleroux%20%7C%20TestNewSprint#action=com.ibm.team.dashboard.viewDashboard
Take the action portion from URL in 2 and replace the action portion of the url in 3 giving you something like: https://hub.jazz.net/ccm08/web/projects/dleroux%20%7C%20TestNewSprint#action=com.ibm.team.repository.viewUserProfileemId=_yyeAwKGKEeSa6LqyswPPCA
Navigate to the URL...select "Mail configuration"
I have an Infopath 2010 form that is already created. I have a button that should send an email to specific people when values are true but I do not want to submit or save the form until I click the save button at the top of the form. I created 2 rules 1 for the email button and 1 for the save button. The save button works when I want to submit and save but the email button does not send emails when values are true. I would like to only use InfoPath to fix this issue if possible.
There is no OTTB solution for info path. But we can do some more things.
On Email button, we submit a data in temp library, where workflow
will start and using workflow you can send email.
If you are using info path with code, than you can do this directly using code.
Create a simple service which send email. On email button, just call
service function to send email.
I agree with Ali's suggestion. Also, yo ucan use SharePoint Designer workflow on your dummy/temporary library and use that to email the users. It will trigger on "new item". When you use the "send email" button, it will save on your dummy/temporary library and the workflow will trigger.
I’ve designed a form for a user here to collect data for a workflow. I used SharePoint designer to build a custom approval form. When the workflow is initiated I am receive and email to ‘Edit Task’. I click on the Edit Task button and it takes to the form. I enter the information requested and my tasks lists and calendar are updated. However when I set the email to go to the user who will be entering the data( approval) the ‘Edit Task’ Button takes him to an error page “404 page not found”.
It seems that when I created the form SharePoint saved it to a local server and not to the Sharepoint server. I notice that the out of the box workflows go to this directory: http://vaww.visn16.portal.va.gov/sites/HOU/IMS/VistA/Help/_layouts/...
However my form is in the Workflow directory: http://vaww.visn16.portal.va.gov/sites/HOU/IMS/VistA/Help/Workflows/
I use my Explorer to go to My Network Places and I can see the directory for my workflow and workflow form. However other users with my same permission can get to the Workflow directory but only they cannot see the form. The other files associated with the workflow are present for them. Why can’t others access(see) the form? Users that I have asked to test this workflow all have full permissions like me.
Make sure the page that you navigate to when you click the Edit Task button is not checked out to you. If it is checked out, check it in and others should be able to see the page.
If a particular button, on a SharePoint list is selected, can I have a email sent to someone?
You'll probably need to wire an event handler into the list, which is going to require visual studio. I don't know think you can do it from designer.
Yes. You will need to create a workflow (in SharePoint Designer) to generate an email everytime that button/box is checked. In that email you can also specify the details you want to send over, linked to that item. (realy easy, does not require too much knowledge in SP Designer to do it).
I created the workflow in sharepoint designer using Collect data from user option. The approver receives three automated mail.
1) Notification to approve - Task assigned email
2) After approval, task has been changed alert
3) Another task has been changed alert
Is there an option to suppress the last two task has been changed alert? I would like to send only the Task assigned mail to approver
I faced a similar issue and after a research i found a solution that works well for me. I have used Sharepoint Manager 2007 http://www.codeplex.com/. Just use it and do the following as in screen dump:
http://sharepointburger.files.wordpress.com/2010/03/sp20071.png
The first "You've been assigned a task" email is a feature of the Task list template and can be changed in List Settings > Advance Settings > Send e-mail when ownership is assigned.
The second two emails are "Alert me" emails. (Not sure why you are getting two, I suspect you my have signed up with 2 different users accounts that could even have the same email address.)
To delete the Alert Me for the currently logged on user.
Actions > Alert Me > View my existing alerts on this site
Then select your alert and Delete.
By the way - this is not a programming related question (See FAQ top right) so you may get quicker answers by posting similar questions on sites such as superuser.com or SharePoint.SE
I guess that you created your workflow in a "Task" list that has the email alert to "Assigned To" enabled. You can disable this feature under Settings, List Settings, Advanced Settings.
Your approver likely has "Alert Me" features enabled for this list. You can delete these under Action, All Site Settings, User Alerts.
As a side note. Answer to the question this title sounds like it is asking: The "Send e-mail when ownership is assigned" feature in "Tasks" lists on SharePoint often causes problems by sending unwanted emails like the task has been changed alert this question refers to. For those of us who Own sites below the site collection level and do not have access to the top level. Here is a way to fix such problems.
Turn of the "Send e-mail when ownership is assigned" feature and design a workflow in SharePoint designer that mirrors this feature minus to portion of the functionality that is not wanted.
