I can't figure out an option I'm sure Tableau has.
Its easier to explain with visually so I'll show you what my table looks like and what I'd like it to look like (at least when I export to excel).
Looks like:
Date Group
1st a
b
c
2nd a
b
c
What I would like:
Date Group
1st a
1st b
1st c
2nd a
2nd b
2nd c
So I'd like no merged or blank values as at the moment when I export to Excel I have to unmerge and then manually fill the blanks which for large sets of data is a nightmare.
What you can also do is create a calculated field and then add all the Dimesions you are using. Add this to the left side of the shelf and then right click and untick "Show header". It will now export as you wanted, you will just have to delete Column A.
There are a couple of ways you can do this:
Put the row's distinct value (aka - deepest level of detail) in your first column.
Use the View Data feature under Analysis in the Menu bar (also found in other places).
Actually you can create a calculated field then just input index() in it;add this field to the left side and hide it.

Using the sample-Superstore data, I am trying to do a table calculation on the row totals, Sum(Sales) -Sum(Profit). I can get the result using this formula
TOTAL(SUM([Sales]))-TOTAL(SUM([Profit]))
But it will also show the value under Ship date 2016/2017,(I only need the total). Any ideas on how to remove the highlighted portion or an alternate way to achieve this?
Try one of two:
1) Try right-clicking the column where your red box is, TOTAL(SUM(SALES))... and then un-check 'show headers'. That will remove the column from your viz, however the calculations and sorting will still be there.
2) Adding the measure-names manually, rather than with the 'measure names' blue-box in the columns. Then, right click the column you wish to hide, and uncheck 'show headers'. That will remove the column from your viz, however the calculations and sorting will still be there. .
I have a Tableau file whose source is from one Excel sheet as shown below:
And it's how it looks in Tableau:
I have a Tableau sheet to show me the top 3 customers in each section. For example, company F, H, J, B, A are in section XXX, I filter section XXX only, sort F, H, J, B, A, select the top 3 customers and hit "keep only". So I have a table of top 3 customers in XXX section. Please see the pics below:
My question is, every month I have an updated Excel sheet with same format and I feed it into Tableau, the sales change every month but I always want top 3 customers in each section. For example, top 3 customers this month in XXX section are F, H, J but next month it might be A,B,H. However since I use "keep only" to filter F, H, J, the top 3 customers can only be F, H, J unless I manually change the filter. Is there anyway I can program Tableau to pick up the top 3 automatically whenever I feed new data to this file? I know "filter top n by" can do it but it can only filter by one variable, like they can only filter by sales instead of sales AND sections. I want to use "by formula" in the pic below to do it but I am not sure how to write the formula.
Have you tried to use the "Top" instead of "Condition" tab? You could also try to use a rank.
Create a calculated field "Rank", put index() into it, make it discrete and put it between your segment and customer pillow. Untick "Show header" and use it as a filter on the filter shelf.
I would use the Quick Table Calculation Rank. To do this create a new worksheet as follows:
Drag Section onto Rows
Drag Customer onto Rows
Drag Sales onto text mark
Drag sales onto detail
Right click the sales that you have dragged onto detail. Select Quick table calc and then rank.
Change this table calc from the detail mark onto the rank mark.
Now you can see what it is doing my default. You can see that is will be calculating the rank across all sections. As you mentioned you want the rank per section you just need to adjust the way the quick table calc is working. To do this right click on the measure and select edit table calc. Under Compute using you can change the way the calc is working. Select a couple of different ones to see what is happening. As you have structured the workbook to have Section and then Customer on the Rows shelf you should be able to use pane across then down. This means that it will calculate the rank per pane which in this case is per Section and will calculate down across Customer.
8) You can now drag this measure onto the filters pane and select a range of 1-3 this will filter the view to only show the top 3.
This method will work dynamically even when the data is updated :)
I'm using Tableau Desktop 9.0 on OSX. I have data (loaded from a local CSV file) that looks like this:
code,org,items
0212000AA,142,10
0212000AA,143,15
0313000AA,142,90
0314000AA,143,85
I want a chart that shows the number of items beginning with 0212 as a percentage of all items, for each organisation. (I mean as a percentage of the organisation's items - for example, in the above, I would like to show 0.1 (10/(10+90)) for organisation 142.)
I have been able to get part way there, by adding org to Columns, and SUM(items) to Rows. Then by adding a Wildcard filter on code, for starts with 0212.
This shows me the number of items starting with 0212, by organisation.
But what I don't know how to do is show this divided by the value of all items for the organisation.
Is this possible in Tableau, or do I need to pre-calculate it before loading my data source?
One way is to define a calculated field called matches_code_prefix as:
left(code, 4) = "0212"
You can also define a parameter called, say, code_prefix to avoid hard coding the prefix string:
left(code, 4) = code_prefix
And then show the parameter control for code_prefix to allow the user to interact with it.
If you use this new field as a dimension to separate SUM(items) according to those that match the prefix and those that don't, you can then use a quick table calculation to get the percent of total.
For example, you can place org on the Rows shelf and matches_code_prefix on the Columns shelf, and SUM(items) on the Text shelf to make a table. Then under the analysis menu, turn on grand totals for both rows and columns to see the behavior. Next, right click on SUM(items) and choose Quick Table Calc->Percent of Total. Tableau will display the percents of total in the table.
If you want the percent of total defined differently than the default, then right click on the measure again and set Compute Using to a different value such as matches_code_prefix in your case. It's usually better to set compute using to a specific field.
If you only want to display the value for the matching case, select the column header you don't want to see and choose hide. You can also turn off the grand totals from the analysis menu when you are done.
When you are confident in the values in your table, you can turn it into a bar chart for example by moving matches_code_prefix to the detail shelf and the measure to the Columns shelf.

The above is the drag and drop approach. If you prefer to hard code everything in a single calculated field that is calculated on the database side, you could instead define a calculation such as:
zn(sum(if matches_code_prefix then items end)) / sum(items)
Then set the default number format for that field to display as a percentage
I'm using Tableau Desktop v9.0. I have data that looks like this:
code,items
02050252,7
03040620,19
03060423,3
I want to create a bar chart of the items grouped by the first two characters of the code field.
So effectively a chart that shows this underlying data:
new_code,items
02,7
03,22
Is it possible to do this within Tableau? Or do I need to group the data manually myself first?
You can definitely do this within Tableau.
Make sure that your code column is a string. If it's not, right click on it in the dimensions section and choose Change Data Type.
Then, create a calculated field (Analysis -> Create Calculated Field) and enter the expression LEFT([Code], 2), which will take the first two characters of the code field.
Drag your new_code field to the Rows shelf and Items to the Columns shelf and voila, you have your desired data. You can of course change the type of the chart, make it a table, etc. from here.
I've made a crosstab in crystal report like below:
However, as you can see, the ordering is weirld (i.e. the correct one should be like below:)
And the ordering is stored in another field called order, I took a look in the crystal report's cross-tab expert sorting option, it doesn't allow me to order by another column, it only allows me to sort either ascending or descending, how can I set the ordering by another column?
Crosstab's sorting is based on the rows order, if you want to sort it in your on you have to add some extra rows and have to suppress subtotal and Label in Customize Style of Crosstab Expert
Example:
If you have 3 rows(A,B,C) to display and you have to sort it in order like B,C,A then you have to add 2 new rows(B,C) now your Crosstab looks like (B,C,A,B,C) now you have to suppress Rows B and C you meet your both requirements for sorting and display order
But This solution have some limitations like
if you want to export the report in Excel then it will add extra cells in grand total.
otherwise you are good to go.
Example:
If you have 3 rows(A,B,C) to display and you added one row and you suppress it to solve your sorting issue then in Excel its grand total looks like
A B C
a 1 3
b 2 2
---------------------------
Total: 3 5
Yes, you can not sort on another column. You must use any of one column as a header.
In Crystal report, sorting happened based on header column's value (That's why you see as per alphabetic).
I also face this issue and how I solved, that I am explain. You have to use a formula which have order, but either hide it or use a value like in this link.
https://scn.sap.com/thread/3341846
Second option as per this link. (I think first you check this)

open crosstab expert, highlight the column that you want to reorder, go to Group Options and select in specified order. This will open another tab where you will have your available values listed there. Using the arrows on the right side you can move up or down your values and accommodate them in the order you want them to be displayed.
Simple way would be take order column from stored procedure to cross tab and set the order according to that column.
Then supress the order column and reduce the width of that column to minimum pixel so that it doesn't appear in cross tab.
Make the field you want to sort by a group field and hide it. To hide it, in the Crosstab Expert > Customize Style dialog select this group then use the Group Options area to Suppress Subtotal and Supress Label. Worked for me.
Use the order field as the grouping column and change the label for said column to show the actual sizes. The labels can be changed in Crosstab Expert, Grouping Options and then the tab Options.
